How Preventive Maintenance Scheduling Works

Truck Genie's PM module lets you set maintenance schedules for each unit in your fleet based on mileage intervals, time intervals, or both. The system tracks where each unit stands and alerts you before service is due — so you're never caught off guard by an overdue oil change or missed brake inspection.

Setting Up a PM Schedule

Select a Unit

Navigate to the unit you want to set up PM for.

Add a PM Item

Choose the service type (oil change, brake inspection, tire rotation, etc.) or create a custom PM item for anything specific to your operation.

Set the Interval

Define when service is due. You can set intervals by mileage (e.g., every 10,000 miles), by time (e.g., every 6 months), or both (whichever comes first). Enter the date or mileage of the last completed service so the system knows where to start counting.

Set Alert Thresholds

Choose how far in advance you want to be notified. For example, alert at 1,000 miles before an oil change is due, or 30 days before a DOT annual inspection expires. This gives you time to schedule the work without it becoming an emergency.

Not sure what intervals to use? Here are the most common for Class 8 trucks. Always check your manufacturer's recommendations for your specific make and model.

Start with the essentials You don't need to set up every PM item on day one. Start with oil changes and DOT annual inspections for each unit — those are the highest-impact items. Add more PM schedules as you get comfortable with the system.

When a PM Service Is Completed

When you complete a scheduled service, log it as a work order and mark the PM item as completed. The system automatically resets the interval counter and starts tracking toward the next service date. Your complete PM compliance history is stored and reportable.
